![]() In this post, we'll take a closer look at conditional formatting in Google spreadsheets and learn the quickest and most effective ways of setting it up. We'll consider several examples to see how to create conditional formatting with one or several conditions, and how to color cells by custom criteria. We'll pay particular attention to conditional formatting based on other cells. • • • • • • • • • What is Google sheets conditional formatting? Why do we need conditional formatting in a table? Isn't it easier to format the cells manually? Highlighting particular data with the help of color is a great way to draw attention to the records. Use keyboard shortcuts in Google sheets to navigate, format, and use formulas in your spreadsheet. Note: Some shortcuts might not work for all languages. Many of us do this all the time. If the cell values meet our conditions, e.g. They are greater or less than some value, they are the greatest or the smallest, or perhaps they contain certain characters or words, then we find such cells and change their font or color. Wouldn't it be great if such changes to formatting occurred automatically and drew yet more attention to such cells? We would save a lot of time. This is where conditional formatting comes in handy. Google Sheets can do this work for us, all we need is to explain what we want to get. Let's look at some examples together and see how simple and effective it is. How to add a formatting rule with one condition Suppose we have chocolate sales data in our table. Each row in the table contains an order we got from a particular customer. We used drop-down lists in column G to specify if it was completed. What can be interesting for us to see here? First we can highlight those orders that exceed $200 in total sales. We have these records in column F, so we'll use our mouse to select the range of values with the order amount: F2:F22. Then find the Format menu item and click on Conditional formatting. To begin with, let's consider Google Sheets conditional formatting using a single color. Click Format cells if., select the option 'Greater than or equal to' in the drop-down list that you see, and enter '200' in the field below. This means that within the range we selected, all cells with values that are greater than or equal to 200 will be highlighted using the format we set right at the same place: bold red font in the yellow background. We can see our formatting rule applied right away: the cells we needed changed their appearance. You have the choice of setting up conditional formatting not only with one hue, but using a color scale. To do this, select Color scale in the conditional format rules sidebar and use ready sets of color. You can also pick hues for the minimum and maximum points, as well as for the midpoint if necessary. Here we created a color scale where the cells get lighter as the order amount gets smaller, and darker as the sum increases. Format cells in Google Sheets by multiple conditions If the color scale seems too bright to you, you can create several conditions under the 'Single color' tab and specify format for each condition separately. To do this, click 'Add another rule'. Let's highlight the orders that are over $200 in Total sales, and those that are under $100. Computers are designed to compute. Behind the touchscreens and brushed aluminum, they're really just fancy calculators we've taught how to play videos, format documents, and race imaginary cars. But they're still best at crunching numbers—far better at it than the average human. That was Dan Bricklin's insight at Harvard Business School in 1979, while watching his professor calculate and write values in a table on a chalkboard. A few months of coding later, and his VisiCalc app became the original spreadsheet—and the original 'killer app' for the then-new Apple II. Over three and a half decades later, spreadsheets are still one of the most versatile apps. They crunch thousands of numbers at once for Wall Street, serve as makeshift or apps for small businesses, and still are the simplest place to plan your yearly budget. Microsoft Excel may be the most well known spreadsheet tool, but it's far from the only option. Here are the best dozen spreadsheet apps—ones that can run on your phone, browser, or even an Apple II if you still have one around. Want to learn how to get the most out of your spreadsheet app? But sometimes — due to errors, bugs, or when disconnecting an external monitor — an application window can get “stuck” partially or completely outside of the visible area of the Mac’s display, and getting it back can seem impossible. Thankfully, there’s a quick and easy step you can take to automatically fix an off screen window in Mac OS X, and it’s called Zoom. The Zoom function has long been present in OS X, and it’s normally accessed by clicking the green button in the top-left portion of a window (note, however, that in OS X Yosemite the green Zoom button now takes an application into, but you can still use the Zoom function by while clicking). This Safari window is stuck off screen, with its zoom button inaccessible. If you can see the green zoom button, it’s the best way to bring the missing portions of your OS X application window back into view. But what if it’s the top of the window that’s off screen, and you can’t see the zoom button at all? In that case, you can achieve the same result via an option in the menu bar. Simply select your desired application to make it active by click on its icon in the Dock (you should see the application’s name in the top-left corner of your OS X Menu Bar, next to the Apple logo). Then, also in the Menu Bar, click the word Window and then Zoom. If you have multiple windows open in the same application, you can also select Zoom All to bring them all to the correct position at once. As you can likely guess from its name, this has the exact same effect as the green zoom button, and your partially missing window or windows will now be automatically repositioned and resized to fit your current monitor. Displaying images as attachments is a common problem. The solution is not so obvious, because there can be many reasons for that. The problem may occur if the message gets converted to the plain text format or if there are issues with the HTML code of an email signature. Finally, it can be caused by a specific Outlook configuration. So the next time you unplug your external monitor and end up with a full or partial off screen window, don’t panic. Just remember Window > Zoom to bring your missing application windows back. Want news and tips from TekRevue delivered directly to your inbox? When inserting an image into the message body or using it in your signature, the image can unexpectedly change in size and/or become unsharp when sending even when it still looked sharp when composing. The cause of this issue lies in the way handles image dimensions in combination with its dpi value. This guide contains several solutions and workarounds to this issues. • • • • • • Background of the issue This issue usually happens when you are using a picture other than 96dpi. When inserting a picture, Outlook will rescale the image as if it was a 96dpi image. This means that if you have a picture of 150dpi with a height of 88px, it will be displayed as an image of 56px high; 88px/150dpi * 96dpi = 56px It even gets worse; upon sending, Outlook will convert and compress (re-render) the images to 96dpi with the new dimensions permanently! This means that all the 'detailed' picture information is lost and you'll be sending an image of 96dpi which is 56px high. This is of course a severe and very visible quality loss. If your picture is less than 96dpi, then the opposite happens. A picture of 88px high with a dpi of 32 would then result in a 96dpi image of 264px high. So the result will be a very large image (but this time you can resize it back without the image becoming blurry). This is a long outstanding issue/function/design choice which goes back all the way to. While this issue might not be a real issue when inserting pictures (which are usually too big anyway), it will become an issue when you have a carefully designed graphic to be used in a newsletter or signature; quality loss and unexpected changes in graphic sizes is not what you want then. Re-render the image at 96dpi The quickest and easiest way around this issue is to re-render your images at 96dpi. In general, this will not produce a noticeable quality loss. You can do this with a number of picture imaging tools such as (free). If you are using IrfanView view, use the following steps to re-render the image at 96dpi; • Make a copy of your image (unless you don't mind losing the original). • Open the image in IrfanView. • Choose Image-> Resize/Resample • At the bottom of the new dialog, change the DPI value to 96 • Press OK. • Save the image. Now, when you use the image in Outlook, it will keep the expected picture dimensions and won't become fuzzy upon sending. Changing the dpi-settings in IrfanView.
